Interested in reserving our meeting room? 


Four Easy Steps:

1. Review our Meeting Room Policy and diagram to ensure your organization is eligible to use our meeting room facilities and to familiarize yourself with our rules and setup. 

2. Browse our Meeting Room Reservation Calendar to check availability and submit a booking inquiry.

3. Please allow 5 – 10 business days for us to process your request. While that’s processing please:

  • Fill out, accept, and sign our Meeting Room Agreement and Reservation Request Form. Please scan and email to us, or drop off at the library. 
    PLEASE NOTE: Your request can not be finalized until we have a signed copy of this form. 
  • Make sure your organization has a 501(c)(3) on file with us for the year or other acceptable non-profit documentation. This is asked for annually. 

4. Wait for a email confirmation or verbal confirmation from Claire. 


Once you have submitted a booking request online:

Our meeting room coordinator will review your dates selected and correspond with you via email regarding your reservation inquiry.

  • Please allow 5 – 10 business days for us to process your request.
  • You will be asked to fill out, accept, and sign our Meeting Room Agreement and Reservation Request Form before your reservation is finalized.
  • You will also need to have a current copy of your organization’s 501(c)(3) certificate or other non-profit supporting documents on file with us for the year.

FAQs:


The meeting room is available to registered 501(c)(3) non-profit organizations who wish to hold public meetings. The meeting room is also widely used by the library for educational and recreational classes and events and is also made available for Sussex County Government sponsored events.

There is no charge for reserving the meeting room.

Our meeting room can comfortably accommodate:

  • 30 people per half room (includes 6 tables per half room & 24 chairs) 
  • 60 people per full room (includes 12 tables per full room & 48 chairs

Note: External meetings are limited to a maximum attendance of 60 people to ensure adequate parking for library patrons using other library services. 

Meeting room reservations are accepted six months in advance. Due to COVID-19, meeting rooms are currently available only during library operating hours..
All food and beverages (with the exception of water) are not permitted in the meeting room for external groups. Thank you.

South Coastal Library makes available the following equipment:

  • Tables (6 per half room, 12 per full room) and chairs 
  • Audio Visual Projection system 
  • HDMI cable (Apple adapters not available)
  • Podium
  • Wireless Microphones (2)
  • Whiteboard and markers
